Task delegation is one of the core features of EasyDo 365, enabling you to assign work to team members, set deadlines, track progress, and ensure accountability. Whether you're managing a small team or coordinating complex projects across departments, the task management system provides a streamlined way to distribute work, monitor completion, and maintain clear communication about responsibilities.

Tasks in EasyDo 365 go beyond simple to-do lists. Each task can include detailed instructions, checklists, attachments, recurring patterns, and real-time status updates. Recipients receive instant notifications, can accept or decline tasks, update progress, and mark completion—all within the integrated chat interface. This seamless integration means tasks become part of your natural workflow rather than requiring separate tools or platforms.

Prerequisites

Before creating and delegating tasks, ensure you have:

  • An active EasyDo 365 account
  • Access to your company workspace
  • Contacts added or available in your contact list
  • Appropriate permissions to delegate tasks (if company restrictions apply)

Creating Tasks - Primary Method

Open the Task Creation Menu

Launch the EasyDo Tasks app on your mobile device and tap the plus icon (+) in the top right corner of the main screen.

An options menu will appear displaying various actions you can perform, including creating tasks, scheduling meetings, starting chats, and more.

Select Delegate Task Option

From the options menu, tap on Delegate Task to open the task creation interface.

This launches the comprehensive task delegation form where you can specify all task details.

Choose Task Recipient

Select who will receive and be responsible for the task. You have three options:

  • Individual Contact: Choose a specific person from your contact list
  • Create New Contact: Add a new contact and assign them the task
  • Group: Delegate the task to an entire group for collaborative completion

Browse through your contacts or use the search function to quickly find the right person or group.

Select Relevant Company

Choose the company context for this task from the dropdown menu.

If you work with multiple companies or organizations, select the appropriate one. This ensures the task appears in the correct organizational context and is tracked with the right company's metrics.

Enter Task Name

Type a clear, descriptive name for the task in the Task Name field.

Use action-oriented language that clearly communicates what needs to be done. For example: "Review Q4 Marketing Proposal" or "Complete Client Onboarding Documentation."

Set Task Duration

Configure the timeline for task completion:

  1. Start Date: Tap the start date field and select when the task should begin
  2. End Date: Tap the end date field and select the deadline for completion

The system will display the task duration and help recipients plan their work accordingly.

Enhance your task with additional information for clarity and completeness:

Instructions:

  • Tap + Instructions to add detailed guidance
  • Provide context, expectations, and specific requirements
  • Include relevant background information or links

Checklist:

  • Tap Checklist to break down the task into smaller steps
  • Add individual checkpoint items that can be marked off as completed
  • Helps recipients understand all components of the task

Recurring Tasks:

  • Tap Repeat if this task should occur regularly
  • Set the recurrence pattern: Daily, Weekly, Monthly, or Yearly
  • Configure specific days, frequencies, or custom patterns
  • Perfect for routine activities, regular reports, or periodic reviews

Attachments:

  • Tap the attachment icon to add supporting documents
  • Choose files from your device: PDFs, images, spreadsheets, etc.
  • Recipients can access attachments directly within the task

Send the Task

After filling in all necessary information, tap the Send button to delegate the task.

The task is immediately sent to the recipient(s), who will receive a notification in their chat interface and task management section.

Alternative Delegation Methods

EasyDo 365 provides multiple quick ways to delegate tasks directly from conversations:

Method 2: Delegate from Chat Interface

Open a Chat Conversation

Navigate to the chat with the person to whom you want to delegate a task.

This could be an existing conversation or a newly started chat.

Access Delegation Option

Tap the plus icon (+) within the chat interface.

From the options that appear, select Delegate Task.

Complete Task Details

The task creation form opens with the recipient already pre-selected.

Fill in the task details as described in the primary method and send.

Method 3: Quick Delegate from Message

Select a Message

Within any chat conversation, find a message related to work that needs to be done.

Left Swipe the Message

Swipe left on the message to reveal quick action options.

A pop-up menu appears with several actions.

Choose Delegate Task

Tap Delegate Task from the pop-up menu.

The task form opens with the message context potentially pre-filled, allowing you to quickly convert a discussion into an actionable task.

Recipient Task Management

Once you've delegated a task, the recipient receives several ways to interact with it:

Receiving Task Notifications

  • Task notifications appear instantly in the chat interface
  • A dedicated task card displays all task details
  • Recipients can see task name, deadline, instructions, and attachments

Accepting or Declining Tasks

Recipients can respond to task assignments:

  1. Accept: Confirms they will complete the task
  2. Skip/Decline: Indicates they cannot take on the task

This immediate feedback helps you know whether tasks are acknowledged and will be completed.

Updating Task Status

Recipients have multiple ways to track and update progress:

  • Mark as Done: When completed, recipients tap to mark the task finished
  • Progress Updates: Some tasks allow percentage completion updates
  • Comments: Recipients can communicate progress or ask questions within the task

Viewing Tasks

Recipients can access their tasks in multiple locations:

  1. My Tasks Section: A dedicated area showing all assigned tasks
  2. Today's Tab: Quick view of tasks due today
