Create and Delegate Tasks
Task management is at the heart of productivity and team collaboration. EasyDo 365's task delegation system allows you to assign work to individuals or groups, set deadlines, provide detailed instructions, track progress, and ensure accountability. Whether you're managing a project, delegating routine work, or coordinating team efforts, the task module provides the structure and visibility needed for effective execution.
The task creation process is flexible and comprehensive—you can create simple quick tasks with just a name and deadline, or elaborate assignments with detailed instructions, checklists, attachments, and recurring patterns. Tasks appear in recipients' dashboards, send notifications, integrate with chat conversations, and provide completion tracking, ensuring nothing falls through the cracks.

Prerequisites
- Active EasyDo 365 account
- Contacts or groups to delegate tasks to
- Clear understanding of task requirements
Creating a Task (Primary Method)
Open EasyDo Tasks App
Launch the app on your phone.
Tap the Plus Icon
Tap the plus icon (+) in the main interface.
An options menu will appear with various actions.
Select Recipient
Choose who should receive the task:
Option 1: Existing Contact
- Select from your contact list
- Scroll or search for the person
Option 2: New Contact
- Create a new contact
- Enter their details
- Add to your contact list
Option 3: Group
- Select an existing group
- Task is assigned to all group members
- Useful for team tasks
Select Company
Choose the relevant company for which you're delegating this task.
This is important for:
- Proper categorization
- Company-specific task tracking
- Reporting and analytics
Enter Task Name
Type a clear, descriptive task name in the Task Name field.
Good Task Names:
- "Prepare Q4 sales report"
- "Review client proposal - ABC Corp"
- "Update inventory database"
- "Schedule team meeting for next week"
Best Practices:
- Be specific and actionable
- Include key context
- Keep concise (under 60 characters when possible)
- Use action verbs
Set Start and End Dates
Select the task timeline:
Start Date: When work should begin End Date: When task must be completed
Tips:
- Allow reasonable time for completion
- Consider recipient's workload
- Account for dependencies
- Include buffer for unexpected delays
Send Basic Task (Optional Quick Path)
If you just need a simple task with name and dates, tap Send now.
Your task is created and sent to the recipient.
OR continue to add more details (recommended for complex tasks).
Adding Detailed Information
Add Instructions
Tap on + Instructions to expand the instructions field.
Type detailed instructions for the task:
Include:
- Specific requirements
- Expected deliverables
- Quality standards
- Important notes or context
- Resources or references
- Who to contact for questions
Example:
Please prepare the quarterly sales report including:
- Revenue by region
- Top 10 clients
- Year-over-year comparison
- Pipeline forecast
Use the standard template from shared drive.
Submit draft by Friday for review.Add Checklist
Tap on Checklist option to create sub-tasks or checkpoints.
Write down individual checkpoints:
- Break task into smaller steps
- Create verification points
- List deliverable components
- Define completion criteria

Tap the attachment option to add files.

- Keep files reasonably sized

Send Complete Task
After adding all information, tap the Send button.
Your detailed task is now delegated to the recipient(s).
Alternative Methods to Create Tasks
Method 2: Through Chat
Open a Chat
Open an existing chat conversation with the person you want to assign a task to.
Tap Plus Icon
Click the plus icon in the chat interface.
Select Delegate Task
From the options, tap Delegate Task.
Fill Task Details
Complete the task form as described above.
Advantage: Task is immediately linked to your conversation with that person.
Method 3: Swipe to Delegate
Open Chat
Navigate to the chat with your contact.
Tap Delegate Task
Select Delegate Task from the menu.
Advantage: Creates task with context from the message you swiped.
Recipient Task Experience
Task Notification
When you delegate a task, the recipient:
- Receives a task notification
- Can view full task details
- Sees in chat conversation
- Task appears in their task list
Task Actions for Recipient
Accept or Skip:
- Open notification
- Choose to Accept or Skip with single click
- Acceptance confirms they'll work on it
Mark as Done:
- When completed, mark task as done
- Updates task status
- Notifies task creator
View Task Details:
- Navigate to My Tasks section
- View all assigned tasks
- See task under Today's tab if due today
- Access complete task information
